How to Incorporate AI Into Your Business in 3 Simple and Effective Ways

Welcome to the future of business! One of the hottest topics in 2025? Artificial Intelligence (AI). It’s everywhere, and it’s reshaping how businesses operate. If the idea of incorporating AI into your workflow feels overwhelming, you’re not alone. With so many tools, scripts, and apps, it’s hard to know where to begin. But don’t worry—this post will walk you through three easy steps to harness AI in your business, using it as a tool to save time, improve your customer experience, and achieve your goals. 


Step 1: Set Clear Goals for AI Integration

Before diving into AI tools, it’s essential to define your objectives. AI isn’t just a buzzword; it’s a tool to help you work smarter. Start by asking:

  • How can AI support my current programs and services?

  • How can I use AI to serve my clients better?

For instance, I brainstormed ways AI could enhance our Crush the Rush Club and came up with “Club Bots”—automated tools to streamline processes like writing content, crafting marketing statements, and repurposing materials from blogs to social media posts.

This brainstorming exercise is simple but powerful. Take the time to think about your existing services and how AI could enhance them. And don’t be afraid to collaborate with experts. I partnered with Hattie from Funstans to create these bots, and her expertise accelerated our progress.


Step 2: Choose One AI Tool and Start Small

The world of AI is vast, but you don’t need to master every tool. My personal choice is Google Gemini because of its user-friendly interface and versatility. When you’re starting, focus on a single tool and use it to tackle a small, repetitive task that’s eating up your time.

  • For Content Creators: Draft social media captions or brainstorm blog post titles.

  • For Business Owners: Summarize meeting notes or generate ideas for marketing campaigns.

Experiment with Prompts

 Begin by experimenting with simple prompts, such as asking it to write a handful of Instagram captions for a product launch or summarizing an article in a few key points. As you refine your prompts (include your target audience and tone of voice) and gain confidence, you can progress to more complex tasks like writing blog posts, creating presentations, or drafting marketing plans. The key is to start small, familiarize yourself with the tool, and gradually increase the complexity of your tasks. By doing so, you’ll not only streamline your workflow but also free up time for strategic and creative work. 

Gradually Increase Complexity

As you gain confidence, use AI for more advanced tasks:

  • Writing blog posts: 

    • “Draft a blog post outline about [topic].”

  • Creating presentations

    • “Summarize this article in 3 key points.”

  • Drafting marketing plans

    • “Write 5 Instagram captions for my product launch.”

 

Step 3: Document What Works

Once you discover a strategy or prompt that delivers great results, document it. Saving successful prompts creates a library you can rely on to simplify your workflow. For example, when I write blog posts, I use a specific prompt template that includes the topic, target audience, desired outcome, and unique angle. This ensures consistency and efficiency every time I create new content.

Similarly, for social media, I have a go-to prompt for generating Instagram captions. It includes a hook, a key takeaway, and a call to action, along with relevant hashtags. By saving these prompts in dedicated channels I’ve streamlined my entire process. The result? Faster output and more time to focus on other areas of my business.

Blog Post Prompt Example:

"I need help generating a content brief for a blog post. Here’s some basic information:

  1. Topic Interests: [e.g., AI tools for small businesses]

  2. Target Audience: [e.g., female entrepreneurs juggling family and business]

  3. Desired Outcome: [e.g., help readers understand how to use AI effectively]

  4. Unique Angle: [e.g., focus on saving time and simplifying workflows]

Based on this, generate:

  • A compelling title and meta description

  • An engaging introduction

  • A structured outline with headings

  • A call to action

  • SEO Tips

Introducing a new private podcast series that’s just for you if you’re sick of all the Instagram BS! (or insert social channel of your choice). You can build a business without being a slave to the social engine. Grab the free series.

Social Media Post Prompt Example:

"Write a short, engaging Instagram post promoting this blog post. Include:

  • A captivating hook

  • The key takeaway

  • A call to action

  • 3-5 relevant hashtags"

Save these prompts in channels tailored to specific tasks, such as content creation or customer service. This ensures you can quickly replicate successful workflows week after week.


Creative Uses for AI in Your Business

The possibilities with AI are endless. Here are a few more ways you can leverage it:

  1. Podcast Episode Planning: Download your recent analytics, input them into an AI tool, and ask for recommendations on future topics.

  2. SEO Optimization: Use AI to create SEO-friendly blog titles, keywords, and meta descriptions.

  3. Meal Planning Hack: Upload recipes for the week and let AI generate a grocery list for you.


The Mantra: Do Less, Better

The key to effectively incorporating AI is to align it with your goals and use it responsibly. It’s not about doing more—it’s about doing less, but better. AI should free up your time for strategic and creative work while enhancing your customer experience.

Incorporating AI into your business doesn’t have to be daunting. By setting clear goals, starting small, and documenting what works, you can use AI to streamline your workflow, save time, and better serve your clients.
